What Do Your Attendees Really Want? Your Event Data Knows

You were sure the afternoon panel would be packed. Instead, it’s half empty. Meanwhile, the session you nearly cut has people standing at the back.

Here’s the thing: your attendees have probably already told you what they want.

The answers are in your event data, from registrations and check-ins to app activity, polls and feedback. You just need to know where to look.

This blog dives into where your event data is hiding and how you can use it to plan unforgettable events.

Why Do Event Planners End Up Guessing?

Event data can be hard to reach, especially when it lives across spreadsheets, emails, and separate apps.

Getting all of the numbers to line up can also take time you don’t have.

On the day of your event, you’re busy keeping everything running. That means you have no time to stop and check what’s working.

Afterwards, you file the post-event report and never open it again. By the time your next event rolls around, you end up planning on gut feelings instead of data.

Where Is Your Event Data Hiding?

The good news is that you are already collecting most of the data you need. Here’s where to find it at each stage of your event.

1. Registration

Look at when people sign up, which ticket types they choose, and the sessions they pick.

This shows you who your audience is and what they care about. It also tells you the best time to send reminders.

2. Check-in

Compare how many people registered with how many arrived. Note the time they came in and how many walked in on the day.

This shows you when and where guests drop off and how many staff you may need at the door.

3. Event app

Check which sessions, speakers, and documents get the most views, as well as how often attendees connect with each other. This tells you which content and speakers draw a crowd.

4. Live polls and ratings

Poll responses and session ratings show you what’s working while the event is still happening. With live data, you can monitor and take note of what’s happening in real time.

5. Surveys

Post-event feedback can be a great indication of what to repeat, what to fix, and elements you can cut.

Pay close attention to comments, as they will often tell you exactly what attendees want from future events.

How Do You Turn Data Into Your Next Event Plan?

1. Start with three questions

Before you open a single report, decide what you want to know. For example:

  • Which sessions should we repeat?
  • When should we send invitations?
  • Where did people lose interest?

With three clear questions, you can avoid getting lost in the numbers and actually make sense of what you’re seeing.

2. Compare the numbers side by side

Take these three figures and put them next to each other:

  • How many people registered?
  • How many attended the event?
  • How did they rate each session?

A session with lots of sign-ups but low ratings tells a very different story from one that was quiet but loved.

3. Write down one change per stage

Pick one thing to improve for each stage of your event, from registration to follow-up surveys. Small, clear changes are often easier to make than a full overhaul.

4. Only collect necessary data

More data doesn’t always mean better results. Ask only for what you need and tell attendees how you will use it. This builds trust while keeping you in line with privacy laws.

How Does Flock Help

RSVP platform

Our RSVP Platform gives you branded invitations and registration pages, guest list management, and email and SMS reminders.

You can also sell tickets and take payments. Every sign-up is captured from the first click, so you know who’s coming and what they’ve chosen.

Onsite RSVP solutions

On the day, onsite RSVP Solutions keeps the queue moving with QR code check-in, badge printing and walk-in management.

You can see attendance in real time, so you know exactly who showed up.

Custom mobile event app

Our custom mobile event app puts the agenda, speakers, maps, networking, live polls and surveys in your attendees’ pockets. It has over 20 integrated features.

It’s also available as a browser-based version, so nothing needs to be downloaded. While guests use it, you can see what they engage with most.

Attendee dashboards and analytics

Instead of piecing spreadsheets together after the event, you get real-time dashboards with your event data in one secure place.

Before the day, you can track pre-event stats and attendee requirements. During and after the event, you can sort your data by guest type, session or even region.

Once it’s all over, you can pull together a post-event report to share with your stakeholders.

Ready to Stop Guessing?
